Privacy Policy

This policy explains how Manifold — the dispatch platform, the Manifold driver app for Android and iOS, and the driver web app — collects and uses personal data.

Who controls your data

Manifold is business software licensed to transport and logistics companies. If you are a driver, your account was created by the organisation you work for or with, and that organisation decides what data is collected about you and why. Quincus operates the platform on their behalf. In data protection terms, your organisation is the controller and Quincus is the processor.

This matters in practice: requests to access, correct, or delete your data are handled by your organisation's dispatch or operations administrator. We will help them action your request, but we cannot delete an operational delivery record on our own initiative.

What the driver app collects

Location.While you have claimed an active trip, the app records your GPS position and sends it to your organisation's dispatch console. It also stamps proof-of-delivery events — photos, signatures, stop updates — with the position at which they were captured.

Photos and signatures. Delivery photos, signature captures, and any notes or exception reasons you enter as proof of delivery.

Account and trip data. Your name, the organisation you belong to, the vehicle and trips assigned to you, and the delivery outcomes you record.

Device and diagnostic data. Connectivity state, app version, and error information, used to tell a genuine delivery problem apart from a phone that lost signal.

Location collected in the background

When you allow it, the app continues to collect your location while it is in the background or your screen is locked. This is limited in three ways:

  • It happens only while a trip is active. Collection begins when you claim a trip and stops when you complete or release it. Nothing is collected between trips, off shift, or after you sign out.
  • On Android, a notification remains visible on your phone for as long as tracking is running, so there is always a visible signal that your location is being shared.
  • You are asked before the permission is requested, and you can decline. If you decline, the app still works and you can still complete deliveries — your location is then only recorded while the app is open on screen. You can change your mind at any time in your device's system settings.

Background location is used only to report trip progress to your own organisation and to calculate arrival times for the recipients of those deliveries. It is not used for advertising or profiling, is not sold, and is not shared with data brokers.

Why we collect it

To operate the delivery service you are performing: assigning and sequencing trips, recording proof of delivery, calculating estimated arrival times, resolving delivery disputes and damage claims, and reporting on service performance to your organisation and its customers. Where the law requires a legal basis, ours is the performance of the contract between Quincus and your organisation, and your organisation's legitimate interest in operating its fleet.

Who it is shared with

  • Your organisation — dispatchers and administrators see your trip progress, location while on trip, and the proof of delivery you record.
  • Your organisation's customers — the party expecting a delivery may be shown limited tracking information for their own shipment, such as an estimated arrival time and delivery confirmation.
  • Service providers we use to run the platform: cloud hosting and database providers, map and routing providers, and transactional email delivery. They act on our instructions and may not use the data for their own purposes.
  • Where legally required — for example in response to a valid legal request, or to investigate an accident or a safety incident.

We do not sell personal data, and we do not share it with advertising networks.

How long it is kept

Delivery records, including their proof-of-delivery captures, are retained for as long as your organisation's account is active, because they are the commercial record of work performed. We do not keep a history of your movements: the dispatch system stores only your most recent position, and each new update overwrites the previous one. Where a GPS reading was captured as part of a delivery step — the stamp on a photo, a signature, or a stop update — it is kept alongside that delivery record, because it forms part of the proof of delivery. Aggregate figures such as distance travelled and on-time performance may be kept for longer. When an organisation's account is closed, its data is deleted or returned in accordance with its contract.

Your rights

Depending on where you live, you may have the right to access the personal data held about you, to have it corrected, to have it deleted, to object to certain processing, and to receive a copy of it. Because your organisation is the controller, start with your dispatch or operations administrator. You can also write to us at privacy@quincus.com and we will route your request to them and assist.

Security

Data in transit is encrypted with HTTPS. Proof-of-delivery captures and queued location fixes that have not yet been uploaded are stored in the app's private storage on your device and are removed once they have been accepted by the server. Access to production data is restricted to personnel who need it to operate and support the platform.

Children

Manifold is workplace software and is not directed at children. We do not knowingly collect personal data from anyone under 18.

Changes

If this policy changes in a way that materially affects what we collect or why, we will update the effective date above and, where the change is significant, notify your organisation.
